This is the most widely misunderstood point in the field. Handling two thousand files instead of two hundred changes the setup cost hardly at all. Connecting a third system does.

How many systems to connect

A single tool with a documented interface connects quickly. Every additional system adds an integration, a test cycle and its own error handling. This is the dominant variable.

The quality of the interfaces available

Some line-of-business systems offer a complete interface. Others impose file imports, with format and frequency constraints. The difference in effort between the two is considerable.

The proportion of exceptions

A flow where nine files in ten are standard configures quickly. A flow where every file has its own quirk needs more rules, and sometimes leads to the conclusion that it should not be automated.

The level of traceability required

An internal log is enough in many cases. Traceability that must stand up to a third party or an auditor calls for additional controls and retention.

The second flow costs far less than the first

Most of the first project pays for the connectors, the sign-off queue and the logging. Those components then serve every subsequent flow that runs through the same systems.

A second process on an existing foundation usually sits at the bottom of the go-live range, sometimes below it. The quotation itemises this instead of repeating the price of the first.

The monthly subscription covers monitoring, fixes, security updates and rule adjustments when your systems change version. It does not depend on how many files are processed.

Questions about price

Can we stop after the assessment?

Yes, and it is expected. The process map and the exception inventory stay with you. They are useful even without automation, not least for spotting redundant steps.

Do you charge per page or per document?

No. We charge for the setup and an operating subscription. Per-document pricing creates an incentive to automate things that should not be automated.

What if our software changes?

A version change is covered by the subscription. A change of vendor means a new connector, quoted as such, and announced before being undertaken.
